Step 1: Open the QuickBooks software.

Step 2: Click on “Edit” - “Preferences” - “Payroll & Tax” – “W-2 Setup” - “W-2 Copy Options”.

Step 3: Click on “Show Details” for Printing Options.

Step 4: Select "Standard" from the drop-down menu of "W-2 Copy Option".

Step 5: Click on "OK".

W2 Form

The W2 is the one form that you can’t delay printing out. The IRS requires federal employers to send an electronic copy of their employees’ W-2s by January 31st of the following year, but you must print out a hard copy and give it to each employee by February 15th. The good news is that QuickBooks Desktop makes this process fairly simple.

If you want to print out multiple W-2s, simply select the ones you want to print and click on File>Print Forms>W-2. You will be presented with a form where you can enter information such as how many copies you want, where to send them and which box number(s) for each W-2. If you have multiple employees who need separate copies of their W-2 forms, repeat this process for each one.
